Availability is only the starting point

Enterprise AI depends on information that can be found, interpreted and used appropriately. Having documents or database tables available does not establish that they are current, authoritative or suitable for the intended task.

Begin with the workflow you want to support. List the information it needs and identify the gaps that could affect an answer or action. This makes data preparation specific and manageable.

Give critical information an owner

Data ownership should mean someone can decide what a field or document represents, how it is maintained and when it should be corrected. Without that responsibility, conflicting sources can remain unresolved.

For an AI knowledge assistant, this might mean an owner for each policy collection and a process for retiring outdated guidance. For ERP automation, it could mean a named owner for supplier or product records.

Measure quality in the context of use

Quality depends on the decision being supported. Missing values, stale information, duplicate records and inconsistent units have different consequences in different workflows.

Define checks around those consequences. Sample real records, include edge cases and agree what level of quality is needed before a solution may proceed. Preserve the ability to trace an answer or decision back to its source.

Carry access controls into the solution

An AI interface should not become a shortcut around existing information permissions. Plan which users can retrieve which sources and how access changes will reach the solution.

Consider logs and evaluation data as well as the original documents. These can contain sensitive business information and need deliberate handling.

  • Map access to business roles.
  • Retrieve only the information needed for a task.
  • Check how permissions are updated or revoked.
  • Define who can inspect logs and review outputs.

Build a feedback loop

A deployed solution will encounter information and questions that were not in the original evaluation set. Give users a way to flag unsupported answers and route those reports to the appropriate owner.

Review both the source information and the solution behaviour. Improving a document, clarifying a definition or correcting a source record may be more useful than changing the model.
